Booking procedure and terms & conditions
You must carefully read the following conditions of contract and waiver of liability details
Booking Procedure:
A completed booking form and the 25% of advance payment must be forwarded to the WRET account at the time of your booking. The 50% payment much be forwarded or deposited to WRET Bank Account 60 days prior to departure and remaining 25% must be two weeks prior to departure. If the balance is not received by this date the booking will be deemed cancelled and cancellation fees applied.
For booking your trip, either you can send your trip booking online or you can print out the booking form from our website, fill it and send us via email directly to our mail address given.
After we receive your booking and advance payment, you will receive:
- the confirmation of your trip booking and detail of itinerary,
- the invoice,
- the formalities file to obtain your visa (if necessary),
Transfer and amendment to booking
If you wish to change any bookings made on the original booking or transfer to another trip you must advise worldrecords@wlink.com.np or WRET in writing. Changes/transfers incur fees as follows; Amendment to original requested bookings – fee of $50.oo per person applies.
If you transfer to another trip which departs within 12 months of original booked departure, the following fees apply;
- between time of booking and 60 days prior to original booked departure - $100.00 fee plus any airline charge
- From 59 days of original booked departure date - cancellation fees will apply.
Cancellation fee
If you wish to cancel your booking you must notify WRET in writing. As soon as we receive you written notice, cancellation will be effected due time. If you cancel a booking 60 days or more prior to departure date, we will forfeit your $400.00 deposit.
- If you cancel 31-59 days prior to departure, we will forfeit 40% of total tour cost.
- If you cancel within 30 days prior to departure, we will forfeit 70% of total cost.
Minimal numbers on groups which results in cancellation of a trip so that if there be less people in any trip to conduct that trip, WRET reserve the right to cancel that trip. In this case, if we are unable to transfer you to another trip, your deposit and any payments will be refunded in full.
Fitness and health requirement
We recommend all participants take regular exercise before their trip. For trekking trips and expedition, we require that you undergo a medical examination with your doctors to ascertain adequate medical and physical fitness for the selected trek and expedition. If you suffer from severe heart, chest, muscular or respiratory disorders, severe asthmatic or have high blood pressure, we strongly advise against joining a trek.
Travel Insurance
Your trip cost does not include travel or personal insurance. Therefore, we request you to have adequate travel insurance cover for the duration of the trip. Proof of cover must be sent to this office before final documents will be issued.
Modification of Itinerary and trek route
It may be necessary due to weather, local transport or various other reasons to make changes to your itinerary/route. WRET reserves the right to do so – at the discretion of the group leader. No refunds will be considered on the basis of itinerary/route changes.
Postponement or delay
We do not take any responsibility for any flight delays or schedule changes at any stage throughout the trip.
Airline responsibility
This contract booking form is not issued on behalf of any airline and does not make any commitment on their behalf in the course of the trip.
Trip cost
The quoted trip cost is accurate at time of booking and we do our utmost to maintain fair costs. However, some matters are beyond our control and we reserve the right to increase our total trip cost up to time of departure as a result of major currency fluctuations, increased fuel costs, airport charges, increased airfares or increased local operator charges.
AGREEMENT OF COMPLETE ASSUMPTION OF RISK OF TRAVEL AND RELEASE
In signing this booking form, I hereby acknowledge and accept the following Terms and Conditions and Agreement related to trekking and expedition to be organized by World Records Expeditions & Treks (P) Ltd., its agents, owners, employees, partners and all other persons or entities acting in any capacity on their behalf (hereinafter called WRET). I agree to release and discharge WRET on behalf of myself, my children, my parents, my spouse, my siblings, my other relatives and/or dependants, my heirs, assigns, personal representatives and estate as follows:
- I am aware that your adventure trip, in addition to the usual dangers and risks inherent, has certain additional dangers and risks, some of which may include physical exertion for which I may not be prepared, weather conditions subject to sudden and unexpected change, remoteness from normal medical services, evacuation difficulties if I need evacuation.
- I accept all the inherent risks of the proposed adventure trip and the possibility of personal injury, death, property damage or loss there from.
- I acknowledge that the enjoyment and excitement of adventure travel is derived in part from the inherent risks incurred by travel and activity beyond the accepted safety of life at home or work, and that these inherent risks contribute to such enjoyment and excitement, being a reason for my participation.
- I agree that if I suffer any injury or illnesses WRET may, at my cost, arrange any medical treatment and emergency evacuation services as they deem essential for my safety.
I accept and agree to assume all risks associated with the Trekking/Expedition and further agree to abide by the terms and conditions of WRET, as described here; and in the event of illness, accident, weather, political and other factors beyond the control of WRET, I will not hold WRET responsible or liable for damages. I understand that I am involving in the trekking/expedition at my/our own risk and my/our own consensus. I understand the accept that such unforeseen risks, threats and dangers can also result in physical or emotional injury leads to death or damage to property, or to second or third parties as well.
I certify that I have adequate insurance to cover any injury, rescue or damage I may cause or suffer while involving in all aspects of the tour, trek, climbing expedition, or else I agree to bear the costs of such injury or damage myself. I further certify that I have no medical or physical conditions which could interfere with my safety in this activity, or else I am willing to assume - and bear the costs of all risks that may be created, directly or indirectly, by any such condition. I attest I have clearly and completely in formed the WRET leadership of my precondition(s) in writing that may affect my safety or health during the trek.
I acknowledge the risk and hazards of travel in remote areas where injury, delay or unanticipated events may occur. By signing this statement I accept responsibility for my own welfare and waive any future claims against WRET for liability to the maximum extent permitted by law.
As a being a responsible trekker/traveler/mountaineer, I fully understand my role and responsibility toward the local business practices, local communities, local culture, religion, tribe, ethnicity, language and the nature conservation as well as political and social issues. I fully incorporate and obey the code of conduct and guideline related to responsible tourism, ethical business practices as well as nature conservation.
I confirm that I have read, fully understand, and agree to all of the terms and conditions contained in General Information, Terms, and Conditions; and Limitation of Liability, especially noting the policies on cancellations and refunds, limitations of liability, participant responsibility, and airline responsibility. I also confirm that I will have fully read and understood my responsibilities as outlined in the Pre-trip information prior to trip departure and consulted a physician about appropriate medical preparation. Additionally, physician has certified that I am physically able to do this trip.
I hereby release and agree to assure and hold harmless from any and all claims, demands, or causes of action for using of my image, words, voice, or likeness which are in any way connected with my involvement in this trekking/expedition organizes through WRET, in any electronic, electromagnetic, digital, photographic, print, or audio-visual format in regards to advertising, promotions, marketing, cybercasts, literature, newspaper/journal articles, documentary films and video, websites, and/or any other use which WRET deems fit and or/reasonable. I understand I will not receive any compensation for my exposure in any of the aforementioned formats and that WRET exclusively owns and controls such material that is taken by WRET.
In entering into this agreement I am not relying on any oral, written or visual; representatives or statements by WRET, or its staff or any other inducement or coercion to join this trip, only my own free will.
- I confirm that I am over the age of 18 years and that I have read and understood the terms and conditions of this contract and this agreement prior to signing it and I agree that this agreement will be binding upon my heirs, next of kin, executors, administrators and successors.
In case of the minor, aged below 18 the parents should sign this document and send to us.
